Keep&Share’s “Invite-to-Meeting” feature allows you to create events that you can invite others to and they can RSVP for your event. When you create a new event, you can choose “Meeting” as the “Event Type.” When you invite others to be a part of your Meeting, your invitees will receive an email notifying them of the invitation. In that email they can click on the orange button to open a new window with the details of the Meeting and they will have the option to RSVP for your event.

When your invitees RSVP, they have a standard “Meeting” form that they can fill out when they accept or decline your invitation. However, you can customize the form that your invitees fill out

Creating a Customized “Meeting” Form

To create a customized “Meeting” Form, go to the “Self-Book” Dashboard by clicking on the "Self-Book" button in the blue bar above your calendar and then click on the “Manage Forms” button in the upper right-hand corner. This will take you to the Self-Book Form Editor.

In the Self-Book Form Editor, You can either create a new form from scratch (by choosing the “New Form” option, the “Select Form” drop-down menu), or choose to make and customize a copy of an existing form. For beginners, it’s recommended to start from an existing form to get to know the parameters available to work with in creating a form.

Every change made while editing a new Self-Book Form appears live on the right side of the screen to give you a preview of what Calendar Visitors would see when using this form. Not only can you add to and rearrange the order of the fields that appear in your form, but you can edit the content each field receives by changing its Field Type.

The two kinds of Field Types to add to your form

  • Event Field Types collect information about the Event associated with the booking from your Visitor. Information from these field types will be displayed on your Calendar.
  • Custom Form Field Types collect information about the visitor sending in the booking. Information from these field types will not be displayed on your Calendar.

Feel free to take some time exploring (and testing) the variety of options available in Customized Self-Book Forms. Just click on “OK” to save your changes, and you can always return to make more edits by selecting an existing form in the Self-Book Form Editor.
